Hexagon is seeking an Executive Assistant to support the leadership team of our Infrastructure business unit. We are looking for an individual who is efficient and comfortable with both individual and team projects, including event support. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. In addition to being an organized problem solver, the ideal candidate for this job is comfortable working with a wide-range of customers and employees of every level. Assuring a steady completion of workload in a timely manner is key to success in this position. Some travel will be required including support to our Mississauga office for events. The selected candidate will:

  • Perform all administrative duties to support the Infrastructure leadership team members, including but not limited to making travel arrangements; expense report compilation and filing; time card tracking; meeting scheduling and calendar management; and other administrative tasks as required
  • Assist with payment processes and budget planning/reconciliation
  • Assist with creation/support of PowerPoint presentations; documentation and distribution of key meeting minutes; data entry/analysis as applicable; online research; and office and employee social event planning and coordination
  • Liaise with internal departments to ensure smooth operations of the office in compliance with corporate policies
  • Analyze office operations and procedures and suggest process improvements where possible


  • Associate’s or bachelor’s degree in a business-related field is preferred
  • Minimum of four years of experience as an Administrative Assistant in a professional office setting
  • Ability to interact well with all levels of staff
  • Must have excellent verbal and written communication skills
  • Must have skills in PowerPoint and Excel
  • Well-organized, detail-oriented, and comfortable working both individually and collaboratively in a fast-paced, process-oriented environment
  • Must be a self-starter with a proactive work style and take initiative to conclude projects in a timely and professional manner
  • Must be proficient in MS Office Suite
  • Travel may be required on occasion for event support or training
