The Position

We’re on the hunt for an Administrative Assistant to join our Robotics and Space Operations Program Team at our Brampton office.

With 40 years of operational experience and proven performance on the iconic Canadarm programs including Space Shuttle and International Space Station robotics and operations support, our Robotics & Space Operations team has 100% mission success in making space dreams come true.

As our Administrative Assistant, you will perform a variety of administrative duties to directly support various Program teams within the Program office and assist with confidential and sensitive projects with independent judgement while maintaining an ethical, confidential and professional attitude and supporting positive working relationships.

Responsibilities

  • Setting Daily Objectives – Establish daily correspondence, schedules, agendas, meetings, travel etc., and implement appropriate office policies and procedures as required.
  • Provide support to the Program Team on a daily basis.
  • Reporting – assist in the co-ordination and implementation of regularly required reports: Customer Program Reviews, Customer Monthly Reports and various other reports required for the Program… some of the reports and presentations are payment milestones.
  • Communications - Review and evaluate incoming requests to identify items requiring priority attention and ensure deadlines are met, using initiative and judgment within established authority level.
  • Provide administrative support for assigned tasks including preparation of meetings (onsite/offsite), monthly reporting documents (for external and internal use); arrange travel, agendas, calendars, etc. Ability to communicate clearly and effectively with diverse customers and employees from all corporate business units. Processing expenses following MDA and the Government of Canada guidelines.
  • Filing Record Retention – Organize and control filing systems to ensure accuracy and quick retrieval of correspondence and documentation.
  • Design Review and Meeting Co-ordination – Provide administrative support to the Program for any Design Review and customer meetings and assist in achieving program milestones and payments. Co-ordinate meetings, minutes, presentations, facility set-up, travel, ensuring visitors on-site are cleared for access.

Requirements

  • Minimum of five (5) years’ work experience in an Administrative Assistant position
  • Administrative Assistant for engineering departments with 100+ staff would be an asset
  • Strong knowledge of MS-Outlook and MS-Office (Word, Excel, Power BI, Power Point, Visio, etc)
  • Excellent organizational and time management skills
  • Strong written/verbal communication skills, fluent use of written English with knowledge of composition, grammar and punctuation
  • Superior typing skills
  • Initiative, exercise judgement and ability to make decisions within scope of authority
  • Demonstrated flexibility to meet and adapt to changes in organizational priorities
  • Ability to organize work independently with minimum supervision and guidance
  • Ability to thrive in a fast paced, high-demand environment
  • Ability to work under pressure, to handle interruptions and to manage multiple requests
  • Requires analytical skills, problem-solving and fact-finding capabilities
  • Discretion in managing sensitive or confidential information
  • Highly motivated, enthusiastic, and a positive thinker

Comments/Special Considerations

Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP) and ITAR .
